How To Enrol in Co-Curricular Activities

How to enrol?

1. Ensure you have downloaded the latest version of the Covie App. You will know if you have the most recent version if you have the 'Co-Curricular' tile on the main screen.
2. Select the 'Co-Curricular' tile.
3. Choose 'Activity Selection'.
4. Once you have reached the 'Activity Selection' page, you will notice that your children's names are listed at the top of the screen. The tick indicates which child you are making selections for.
5. Select the desired option - Dance Academy, Duke of Edinburgh, Music Ensembles, and/or Sports Academy.
6. Once you have selected an option, you will be shown the available activities available for your child. This will not be the full list of activities; only those relevant according to the age of your child. You can view more information by selecting the desired activity and scrolling down.
7. To enrol in a Co-Curricular activity, click on the 'Select' button. This activity will be added to your cart and you can continue to browse and add other activities for your child if desired.
8. Repeat steps 5 to 7 for other children.
9. Choose 'Cart' at the bottom of the screen to finish all enrolments and pay (if applicable).

Co-Curricular Enrolment Terms and Conditions

We are grateful for the opportunity to partner with families in providing co-curricular experiences that encourage students to develop their God-given gifts, serve others and grow in character. We appreciate the cooperation and understanding of families as we seek to deliver these programs in a manner that is equitable, sustainable and beneficial for all participants.

Covenant values the important role that co-curricular activities play in nurturing student’s gifts, interests, character and sense of community. These Terms and Conditions are intended to provide clarity regarding enrolment, participation and payment arrangements while supporting the effective delivery of our programs.

Please read these Terms and Conditions before enrolling a student. Separate conditions may apply to particular programs or events.

Covenant recognises that unforeseen circumstances can sometimes arise. Accordingly, we reserve the right to exercise reasonable discretion in the administration of these Terms and Conditions and may make exceptions, provide refunds, credits and alternative arrangements. These will be considered on an individual basis, taking into account the relevant circumstances.

Enrolment and Payment

• Most co-curricular programs are not included in school fees and incur an additional charge. Parent or guardian permission and payment must be completed online by credit card through the Covie (Carer Orbit) App at the time of enrolment.
• The Covie (Carer Orbit) App will generally open for co-curricular enrolments during the week prior to the first week of each Term.
• To ensure the smooth administration of our programs, students are required to be enrolled and all applicable fees paid before participating in a co-curricular activity.
• Fees will only be prorated for new students who commence at the school after the beginning of the Term.

Minimum Enrolments and Activity Cancellations where a Refund Will Apply

• Some co-curricular activities require a minimum number of students to operate successfully. Where enrolment numbers are insufficient, we may need to cancel the activity and will work with families to identify suitable alternatives where possible. If no alternatives can be found, a full refund will be provided.
• If the school cancels a co-curricular session, for example due to staff absence, and a make-up session is not provided, the cost of the cancelled session will be refunded to the credit card used for the original payment. Parents or guardians will be notified of the cancellation.

Changes to Participation and Refund Arrangements

• If a student withdraws from a co-curricular activity due to a change of mind, written notice must be provided to the school within seven days of the student commencing the activity. A pro-rated amount for the remaining sessions will be refunded to the credit card used to make the payment.
• Where a co-curricular activity is delivered by an external provider, any refund received by the school from the provider may be passed on as a refund, less any administration fees or other non-refundable costs already incurred by the school.
• As the program costs are generally committed shortly after commencement, refunds and credits are not usually available for change-of-mind withdrawals received more than seven days after a student begins the activity.
• Refunds or credits will not be provided for sessions missed due to holidays, family commitments, appointments or participation in other activities, except where:

1. the school cancels the session and does not offer a make-up session; or
2. the session coincides with a Covenant camp, excursion or other school event.

Dance Academy

• Students enrolled in more than four Dance Academy activities in a Term are eligible to receive the fifth and any additional Dance Academy activities at no charge.
• Parents or guardians must initially pay the full fee for all enrolled activities through the Covie (Carer Orbit) App. Once enrolments have been finalised, the fees paid for eligible complimentary activities will be refunded to the credit card used for the original payment.

Small-Group Tutoring

• Parents or guardians must provide at least 24 hours notice to cancel or request the rescheduling of a small-group tutoring session.
• Tutoring sessions may be rescheduled subject to tutor availability.
• To withdraw from a tutoring program, for example a four-week block, and receive a full refund, written notice must be provided at least 24 hours before the first scheduled session.
• If a student is unable to attend a scheduled tutoring session and at least 24 hours notice is provided, a credit for the missed session will be applied to the family's account.
• If a student does not attend a scheduled tutoring session and the school has not received the required notice, no credit will be provided.

Sport Gala Day and Carnival Events

• If a student withdraws from a sports Gala Day or carnival due to injury or illness, a refund may be provided, subject to any non-refundable costs already incurred by the school. Alternatively, a credit will be applied to their account.
• If a student withdraws from a sports Gala Day or carnival due to change of mind, family commitment, appointment or holiday, no credit or refund will be provided.

Duke of Edinburgh Program

• If a student withdraws from the Duke of Edinburgh program within ten school weeks of enrolment, 50% of the school administration fee will be refunded to the credit card used for the original payment. The Online Record Book (ORB) fee is non-refundable.
• If a student withdraws ten or more school weeks after enrolment, no refund or credit of the school administration fee will be provided.
• If the school determines that a student is not eligible to participate in a Duke of Edinburgh Adventurous Journey, for example due to welfare or behavioural considerations, the camp fee will be refunded in full to the credit card used for the original payment. Alternatively, where permitted by the service provider, the payment may be applied as credit towards an independently booked Adventurous Journey with the same provider.
• If a student withdraws from an Adventurous Journey at least 21 days before the commencement of the camp, the camp fee will be refunded in full to the credit card used for the original payment.

Music Ensembles

• If a student wishes to join a music ensemble, parents are required to enrol them via the Covie (Carer Orbit) App.
• Students or parents are expected to notify the ensemble conductor if they are unable to attend their rehearsal.
• Students or parents are required to notify the conductor if they wish to withdraw from the ensemble.

Medical Conditions, Student Supervision and Transport Arrangements

• To assist us in providing a safe and supportive environment, parents or guardians are asked to advise the relevant co-curricular teacher, coach or instructor in writing of any pre-existing injury, illness or medical condition that may affect a student’s participation.
• Students who remain on school grounds after school must participate in an approved, supervised activity at all times. These activities may include Sports Academy, Dance Academy, After School Care, STEM Club, Art Club, Debating Club, extension classes or the Learning Hub, subject to the applicable year-group requirements.
• When enrolling a student in an after-school co-curricular activity, parents or guardians are required to complete the Co-Curricular Transport form to notify the school who has permission to collect their child.
• When enrolling a student in a dance or sporting activity through the Covie (Carer Orbit) App, parents or guardians acknowledge that they have read the Sport Risk Warning and understand that participation involves inherent risks.

Creative Kids Vouchers

• Creative Kids vouchers can be used for STEM and Art Clubs. Parents will be required to pay the full fee and provide the voucher numbers at the time of enrolment. The $50 refund will be processed at a later time once the voucher has been validated.

After School Care Enrolment Terms and Conditions

• After School Care is available for Prep to Year 4 children. (Year 5 and older are welcome to attend the Learning Hub.)
• Care will be available from 3.00 to 6.00pm on school days or the days they attend Prep.
• After School Care is not part of the Prep program.
• The Prep staff will hand over to the After School Care staff at 3.00pm.
• After School Care is located at the Extension & Enrichment classroom in Junior School (B2).
• Children are to be collected from the B2 classroom by a parent or authorised adult family member or friend. These will be listed as emergency contacts in Edumate.
• Please note that After School is not registered for childcare subsidy therefore there are no discounts available.
• The fee for After School Care in 2026 will be $30.00 per day (3.00 to 6.00pm).
• Permanent bookings and payment can be made via the Co-Curricular tile on the Covie app. (Carer Orbit)
• Casual bookings should be advised before 9.00am on the day of planned attendance by sending an email to the school (admin@covenant.nsw.edu.au). Fees will be added to school fee statements.
