Flexible Learning Guide

A wealth of information for parents and students as we recommence home-based flexible learning.

Information to start 2021

In order to assist parents, we have created a central place for all the relevant information, particularly for new families and students. Documents will be updated for 2022 soon.

Absences - A Government Requirement

It is a requirement that within seven days of a student absence, a parent/guardian provide an explanation for an absence.

The Covie App allows you to approve absences from your mobile. You no longer need to email or call the school or send in a note.

Arriving Late/Leaving Early

If a student arrives at school late or is to leave early, a note must also be provided. The only exception to this is if the lateness is due to a bus running late. All students (other than Infants) must sign in and out via Student Reception and hand their note explaining their late arrival/early departure to the Office.

Application for Extended leave

If you plan on taking your child out of school for an extended period of time, an Application for Extended Leave - Travel 5 days or more is required. Please give as much notice as you can regarding this leave. This form should be submitted to the School Office for approval. The school reserves the right to decline the request if, in the opinion of the school, the request will be significantly detrimental to the child's education. Secondary students will be required to catch up on class work and will need to arrange this with their subject teacher prior to leaving.

Edumate Parent Portal

Every parent is automatically issued a login for the Edumate Parent Portal. Parents will receive this via email, typically during the week your child starts. An important element of the portal is that parents have the ability (and responsibility) to update your own personal details (e.g. phone, address, email) and your child's details, including medical details and emergency contact information, directly in Edumate. It is most important that each individual parent logs into the portal to ensure that their own details and each of your children are correct. If any of these details change during the year, they need to be updated immediately.

Please note the portal is not optimised for use on mobile devices. You will need to use a PC or Laptop device in order to access the portal.

If you have any questions, or difficulty accessing the portal, please contact TechServe via the School Office

Mobile phones

Students should only use mobile phones before they arrive at school or after school finishes. Please do not contact your child via mobile phone in school hours. All communication must go via the School Office.

The newsletter is published each week and available from our website and the Covie App. It is a vital means of communication between school and home.

Opal Card - new applications, change of school or address

Applications for student travel in 2022 are expected to open in October 2021.

Students who require a School Opal card or travel pass for 2022 can apply online. A new application should be submitted if a student is applying for a school travel pass for the first time or requesting an additional pass as a result of a new shared parental responsibility situation (e.g. joint custody).

Students who have changed school/campus, changed address, repeated a year or received an expiry notification from Transport for NSW for their school travel entitlement should re-apply or update their details.

Where there is a change of distance eligibility based on a student’s grade, the system will automatically update a student’s entitlement if they meet the new criteria. If they do not meet the new eligibility criteria, they will receive an expiry notification via email.

Applications need to be submitted before 31 December to ensure that current student entitlements are updated and their current entitlement/card remains valid. If their application is submitted after 31 December, the system will automatically cancel an entitlement/card and a new one will need to be issued.

Parent Involvement Program (PIP)

The Parent Involvement Program (PIP) encourages parents to be involved in the life of the school community. Each family with students from Kindergarten to Year 12 pays a Maintenance Levy that is waived when parents complete 24 hours of volunteer work in a year.

Parking inside the school

The parking area inside the school is not to be used by parents between 8.15am and 3.20pm unless picking up a child from Sick Bay.

Photo permissions

At Covenant Christian School there are many occasions and events where students may be photographed or recorded, including the celebration of student participation and achievement, to showcase learning programs, or to document a student’s learning journey. The safety and privacy of our students is our priority, and whilst we have previously used an ‘opt-out’ approach in regards to the use and publication of photographs and recordings of students, in line with best practice we now require parents and students over the age of 15 to ‘opt-in’. This marks a change in our process and what we require from all parents/carers.

Please take the time to familiarise yourself with the Collection, Use and Disclosure of Images of Students policy which clearly sets out the various ways in which Covenant Christian School is seeking to collect, use and disclose photographs and videos of your child.

Below is a copy of the annual consent form that we require all parents/carers to complete. The purpose of this form is to seek your consent for the collection, use and disclosure of photographs and videos of your child. This form can be used for up to four (4) children, and if your child is over the age of 15, they are required to give their consent in addition to yours. You can withdraw or change your consent at any time by completing another consent form and returning it to the Office.

If you haven't done so already, please complete the Consent Form for the Publication of Images of Students and return it to the Office ASAP. Students may obtain a hard copy of the consent form from the Office. All forms may be returned by your child to the Office or can be scanned and emailed to admin@covenant.nsw.edu.au. If you have any further questions, please do not hesitate to contact the Privacy Officer via the Office.

Students are not to bring skateboards to school.

Volunteer Code of Conduct

All volunteers are expected to sign a Volunteer Code of Conduct form to ensure the safety of all members of the school community. This must be completed each year if you are helping at school, on school excursions or event.
